An Oil & Gas Services Company located in Jalan Sudirman Jakarta has vacant position as Business & Operations Coordinator ( BOC ).

JOB TITLE: BUSINESS & OPERATIONS COORDINATOR
 
MAIN PURPOSE OF THE JOB
1. To contribute to the winning of the relevant tenders through a well managed, accurate and appropriate tender proposal.
2. To ensure that the operation are running in accordance with the project agreement and that the clients’ and project staff’s requirements are satisfied in the company’s best interest.
 
Mission 1: To respect and enforce the QHSE rules, directives and procedures
Activities :
- He/she informs him/herself and keeps him/herself informed of the rules, directives and procedures linked to QHSE.
- He/she applies and enforces the QHSE rules, directives and procedures
- He/she makes proposals in order to improve the QHSE rules and procedures
- He/she fills up non conformity forms and/or observation forms when he/she notices a dysfunction or a risky situation, and communicates them to the regional QHSE department.
- When he/she notices a risky situation, he/she alerts the person at the root of this situation immediately.
- He/she has an Eco- Attitude while he/she performs his/her job
- He/she alerts his/her hierarchy when he/she is confronted to a work situation in contradiction with the principles and rules which govern the management.
 
 
Mission 2: To manage his/her team
Activities :
- He/she manages his/her team and insures the deployment of the management values
- He/she manages the HR matters of his/her team with the support, if needed, if the HR Department
- He/she insures the implementation of the HR Development tools and processes (EPICEA – annual appraisal, CEDRE – annual people review, Training).
- He/she assesses the skills and performance of his/her staff and implement the needed actions for their development (training, companionship, coaching…)
- He/she prepares and helps the mobility of his/her staff
- He/she participates to the recruitment process of the members of his/her team
- He/she participates to the annual increases process.
 
 
Mission 3: To identify the requirements of the tender, and to analyse to meets the conditions to participate to the  tender and to run the project.
Activities:
- to analyze if meets the requirements of the client in view of the tender document;
- to attend the pre-bid meeting and to check with the client if meets the requirements to run the project;
- To identify with the client the administrative, technical and commercial conditions of the project;
- To make a report to the Country Manager with the key points of the pre-bid meeting for him to take the best decision (go/no go).
 
 
Mission 4: To coordinate the tender proposal and ensure the best answer is provided to the client in due time
Activities:
- To identify the different actions needed to provide the best answer to the tender;
- To split up the workload and to partly delegate it to the relevant departments or employees;
- To fulfill the non-delegated work, to follow-up the delegated work, to ensure it complies with the client’s requirements and that it is delivered on time;
- To compile all the information and to send them to the country manager;
- To ensure the tender submission is sent on time to the client when the final remuneration table has been sent by the Country Manager;
- To attend to the opening meeting, to analyse the competitors’ offers and to give all the relevant information to the Country Manager;
- To ensure all the required information are given to the client on time.
 
 
Mission 5: To organize and coordinate the project in order to ensure that all the administrative, financial and logistic requirements are met to properly run the operations
Activities:
- To attend to the kick-off meeting in order to identify all the client’s and project staff’ requirements and to organize how the project will be running in accordance to these requirements and the company’s best interest;
- To identify, partly delegate and coordinate the necessary tasks required to successfully run the operations in accordance to the client’s and project staff’ expectations as well as the company best interest.
- To follow-up and control the delegated work and ensure that every administrative, financial and logistic requirements are fulfilled to run the operations.
 
Mission 6: To be the focal point of the client and the project staff during the operations and to ensure their requirements are fulfilled in the company’s best interest.
Activities:
- To inform the project staff about their entitlements, analyze their requests and to give the appropriated answer to it;
- To be the focal point of the client’s requirements, to check if there are part of the project contract or if there are additional requirements;
- To inform the Country Manager of the additional requirements for him/her to decide if they can be satisfied;
- To identify the necessary actions in order to give the best answer to the requirements of the client and the project staff;
- To fulfil, partly delegate to the relevant employees or departments, follow-up and control that all the actions have been properly done in order to provide the best answer to these requirements in due time;
 
Additional requirement
- Fluent English
- Good knowledge of the Indonesian Oil & Gas regulation especially for what concerns labor regulation and local content restraints.

- To deliver a tender proposal in the indonesian Oil & Gas market
